Trip Booking Terms and Conditions with Thrill Himalaya Treks

We encourage you to read these terms and conditions carefully before booking any trip with us.

By submitting a booking form or paying a deposit, you agree to be bound by the terms and conditions below, which govern the relationship between you (the client) and Thrill Himalaya Treks Pvt. Ltd. ("the Company"), registered with the Nepal Tourism Board under Reg. No. 3303/81/82. Both parties agree to these terms to settle any disagreements that may arise before, during, or after the trip.

1. The Agreement

Once you pay the deposit, we issue a written confirmation of your reservation. Please review the confirmation details carefully and notify us promptly of any inaccurate or missing information. Make sure your name is stated exactly as it appears on your passport.

If you book on behalf of another participant, you are treated as that participant's designated contact person and are responsible for making all payments needed to complete the booking. If changes or cancellations become necessary, you must inform us immediately, and it is your responsibility to inform the rest of your group.

If you book on someone else's behalf, you confirm that you have their permission to do so. We are not responsible for errors or inconsistencies in information you provide on behalf of others; ensuring that information is complete and accurate is your responsibility.

2. Trip Booking

Any itinerary or activity you purchase from us through our official website, thrillhimalaya.com, including treks, tours, or related adventure programs, is referred to as a "trip."

  • A contract between you and the Company becomes official only once we issue a confirmation invoice or email.
  • We reserve the right to adjust the price of a trip before a booking is confirmed and the contract is in force.
  • Beyond what is stated in these terms, we do not offer additional warranties, collateral agreements, or prior descriptions of service as binding.

3. Deposit Requirement for Booking

To confirm a booking, you are required to pay a deposit of 20% of the total trip cost at the time of booking. The remaining balance is payable upon your arrival in Kathmandu and before the trip departs.

For custom or last-minute bookings, we will share a payment link with the required amount and instructions by email.

Booking deposits can be made by bank transfer, credit card (Visa, MasterCard, American Express, Union Pay), or Western Union money transfer.

We are not liable for delays or losses during the transfer process. If a mediator bank reduces the amount received, please settle the difference upon arrival so the total matches the trip cost. Please email us the bank reference number or remittance slip after you initiate the transfer.

4. Final Payment

The remaining balance is payable upon arrival in Nepal, before your trip departs, in cash (USD or other convertible currency) or by card. A 4% card processing fee applies to payments made by credit card, so we recommend paying in cash where possible.

Depending on availability, we accept last-minute bookings up to [FILL: e.g. "1 day"] before departure. Full payment is required to confirm a last-minute booking.

5. Trip Cancellation by the Client

To cancel your trip, you must submit written notice to us. The cancellation fee is determined by the date we receive your written request.

Cancellation Refund Timeline

Notice Period Before Departure Refund Eligibility
31 days or more Eligible for a full refund, including your deposit.
30 to 8 days No refund on the deposit. You will receive a 50% refund of any remaining balance already paid.
7 days or less Classified as a "no show." You are not eligible for any refund, including the deposit.

Voluntary Departure
If you choose to leave a trip for any reason after it has already started, no refund will be issued for any unused accommodation, transport, sightseeing, meals, or other services.

Postponing Your Trip
After paying a deposit, you may postpone your departure to any future date within 5 years, for the same or a similarly priced trip, subject to availability.

Note: Postponing requires a service fee of US$50 per person, plus any applicable trip price increase. Your deposit stays on file for up to 5 years from the original deposit date.

6. Cancellation of a Trip by the Company

We reserve the right to cancel any trip before departure due to events outside our control, including severe weather, natural disasters, flight cancellations, strikes, political unrest, illness, or government restrictions. In this case, we will refund the amount you have paid after deducting the deposit, which covers costs already incurred in trip preparation.

If we must cancel a trip after it has begun due to unforeseen circumstances, we will refund the unused portion of your payment after deducting costs already spent on transport, accommodation, meals, and other services provided up to that point.

7. Passport and Visas

All clients need a passport valid for at least six months from their planned return date. A tourist visa for Nepal can be obtained from Nepalese embassies and consulates abroad, or on arrival at Tribhuvan International Airport in Kathmandu. Visit the Department of Immigration website for current requirements.

8. Complaints

If you have a complaint about your trip, please raise it with your guide or trip leader as early as possible so it can be addressed on the ground. If it cannot be resolved during the trip, submit it to us in writing within [FILL: e.g. "14 days"] of your trip ending so we can investigate properly.

9. Acceptance of Risk

We are committed to providing safe, well-run trips and take our responsibilities seriously. However, Thrill Himalaya Treks is not responsible for itinerary changes caused by circumstances beyond our control, including landslides, road closures, flooding, snow, political unrest, flight delays or cancellations, illness, or accidents. Trekking and mountain travel carry inherent personal risk. By booking with us, you accept responsibility for these risks, including possible injury or, in rare cases, death.

We strongly recommend comprehensive travel insurance that covers high-altitude trekking and helicopter evacuation before booking any trip with us.

10. Use of Photos and Videos

Our guides or staff may take photos or videos of you during your trip, which we may use to promote Thrill Himalaya Treks on our website and social media. If you would prefer not to be featured, or want existing images removed, contact us at [email protected] and we will take them down.
